Terms & Conditions

Reservations & Confirmation

• The lead traveler must be at least 18 years old and authorized to book for everyone listed.
• Completing a form alone does not guarantee a place. Your reservation becomes confirmed after the required deposit is received and we send written confirmation.
• Places remain subject to availability and the maximum capacity of 130 guests.
• Travelers must check names, dates, room arrangements and package details in the confirmation and report errors promptly.

Payments

• The deposit forms part of the total package price and is not an additional fee.
• The remaining balance must be paid according to the schedule stated in your booking confirmation.
• Failure to pay an amount by its stated deadline may result in cancellation after reasonable notice.
• Payments may be processed through an independent payment provider under that provider’s terms.

What Travelers Must Arrange

• Valid passports, visas, entry requirements and international flights unless specifically included.
• Comprehensive travel and medical insurance suitable for Egypt and the booked activities.
• Accurate traveler, passport, flight, health, dietary and emergency-contact information.
• Personal spending, optional activities and any service not listed as included.

Itinerary & Supplier Changes

• Timings and visit order may change because of operational, weather, traffic, navigation, safety or supplier requirements.
• Where a named hotel, cruise, vehicle or service becomes unavailable, we may arrange a comparable alternative where reasonably possible.
• We will communicate significant changes and provide any options required by applicable law.
• Special requests are noted but are guaranteed only when confirmed by us in writing.

Eclipse, Weather & Guest Astronomers

• Eclipse visibility depends on clouds, dust, wind and atmospheric conditions and cannot be guaranteed.
• A weather-related reduction in visibility does not by itself create a refund when the scheduled package and camp services are provided.
• Guest astronomers and speakers are subject to professional availability and may change.
• The absence of a particular announced or expected speaker does not cancel the wider package.

Health, Safety & Conduct

• Guests must follow safety instructions from guides, event staff, medical personnel and astronomers.
• Approved eye protection must be used during all partial phases of the solar eclipse.
• Parents and guardians remain responsible for supervising children throughout the journey.
• We may refuse or end participation where behavior creates a serious safety risk, disrupts the group or violates applicable law.
• Guests should disclose relevant accessibility, mobility or medical needs before travel so reasonable arrangements can be discussed.

Transfers, Changes & No-Shows

• Reservation transfers may be accepted subject to hotel, cruise, airline and supplier approval.
• Any unavoidable name-change or supplier cost will be disclosed before the change is completed.
• Traveler-requested changes remain subject to availability and any resulting price difference.
• Missing a transfer, flight, visit or service because of lateness or a no-show may result in loss of that service.

Events Outside Our Control

We are not responsible for failure or delay caused by events outside our reasonable control, including severe weather, natural disasters, war, civil disturbance, government restrictions, border closures, epidemics, transport disruption or supplier emergencies.

Where such an event occurs, we will communicate available options and handle refunds, credits or changes according to supplier terms and any mandatory applicable law.

Responsibility & Independent Suppliers

• Hotels, cruises, airlines, payment processors and other suppliers may operate under their own terms.
• We remain responsible for our obligations as the package organizer to the extent required by applicable law.
• Nothing in these Terms excludes or limits liability where doing so would be unlawful.
• Guests remain responsible for personal belongings, travel documents and equipment brought on the journey.

Privacy, Complaints & Applicable Law

• Personal information is handled according to our Privacy Policy.
• Questions or complaints should be sent promptly to info@luxoreclipsecamp.tours with the booking reference.
• These Terms are governed by the laws of Egypt, subject to any mandatory consumer rights that apply and cannot lawfully be excluded.
• If one provision is unenforceable, the remaining provisions continue to apply.
